Case study: a sports complex with spa and café — how to get one guest, one card, one database with ResoGuest

Gym, martial arts, group classes, saunas with a pool and a food hall under one roof: how memberships, points and guest offers can live in a single system with ResoGuest.

Picture a large sports complex: a gym and functional zone, a martial arts hall, a studio for group classes — Pilates, yoga, stretching, power circuits. Next door, a spa zone with Finnish and herbal saunas, a hammam, steam rooms and a pool, and downstairs a food hall with a café and a sports nutrition shop. A guest trains in the morning, uses the sauna at lunchtime and has dinner here in the evening. Yet for the systems, they are often three different people.

The typical problems

  • Group class packs, unlimited gym passes and spa packages are tracked in separate spreadsheets — reception keeps switching between them.
  • The café and the shop have no idea a guest is a regular at the gym, and can't thank them for it.
  • New classes and promotions are announced with stickers at the desk — seen only by people who are already there.
  • When a membership runs out, the guest simply disappears: nobody offers a renewal in time.

How to implement it with ResoGuest

In "Subscriptions & Memberships" you can create a plan for each activity, for example:

  • Group class pack — 10 classes valid for 60 days;
  • Unlimited gym for a month, with up to 14 days of freeze;
  • Spa package — 8 visits to the saunas and pool within 90 days;
  • Annual club card — gym, classes and spa, freeze up to 30 days.

Every membership is linked to the guest profile in the CRM. One tablet at reception is enough: the guest gives a phone number or shows the QR code from the app, staff tap "Check in" and see "7 of 10 left, valid until 12 December". Guest off to a competition? "Freeze" — and on unfreeze the validity is extended automatically.

One loyalty program for the whole complex

Points can be earned on purchases in the food hall café and the shop — through the Syrve POS, with no extra terminal. A guest who trains four times a week climbs the tiers quickly and gets a discount on a post-workout protein shake or a massage. Points are shown in the guest app next to the remaining visits.

Guest app and push offers

The complex can launch its own branded guest app — installed from the website in seconds, no app store needed. Inside: a guest card with a QR code, remaining visits, points, the café menu with pickup ordering and table booking.

Push notifications can replace the stickers at the desk. Example messages:

  • "New mobility class on Saturday morning — 6 spots left";
  • "Your membership ends in 5 days — renew with 10% off";
  • "We haven't seen you at the spa for a while — the sauna and pool are waiting, tea is on us".

Events and the food hall

Event enquiries — birthdays, corporate workouts, tournaments — can come in through a form and land in the CRM with contact details. Food hall tables are booked online, and a hungry guest can pre-order a bowl after training and pick it up on the way out.

  • The guest has one card and one profile — gym, spa, café and shop see them the same way.
  • The system reminds guests before a membership ends, not after — so renewals don't slip away.
  • The owner sees who only uses the gym and who also dines at the café, and can make offers by segment.
